Job-Beschreibung und Hinweise für Office Manager

WHAT YOU'LL DO

As an assertive and dynamic Office Manager, you’ll be the mind and soul of our Stuttgart office, managing the human resources, office management, and purchasing/controlling departments. Through your central position, you will permanently shape our office culture, be a trusted sparring partner for our Stuttgart Managing Directors, and will act as the interface between consultants and members of the Business Services Team.

You will be the line manager to our assistants, the reception team, and our admin staff. This includes personnel planning, recruiting, and disciplinary management and supervision of around 15 employees. As a dependable individual, you will be the first point of contact in Stuttgart for general and HR-related questions.

In addition, you will be responsible for monitoring the site development, overseeing room planning, and deriving and implementing the resulting seating and room usage concepts. Your range of responsibilities also includes planning and budgeting for necessary renovations and building modifications. You’ll also collaborate on relocation and construction projects and maintain our sublease agreements. With your strong creative drive, you will develop and implement concepts for optimizing internal services and will improve internal processes between in-house interfaces.

Thanks to your above-average service orientation, you will collaborate effectively with suppliers and service providers. This includes contract negotiations and conclusions, order and complaints management, and auditing. You will also plan the office budget, perform cost controls and analyses, and ensure adherence to quality standards.

You have excellent communication skills, and you win over others for your content based on your clarity and transparency. You look at issues from multiple perspectives and are able to bring people together and focus on a shared objective. Your tact and diplomatic skills enable you to act confidently, tactically, and on an equal footing with stakeholders on different hierarchy levels.

In addition to your daily business, you’ll be responsible for planning and organizing internal events, and you will work closely with the Office Operations Director on strategic, cross-office projects within Germany and Austria.

YOU BRING (EXPERIENCE & QUALIFICATIONS)

  • You have a (technical) college degree with a focus on business administration.
  • You also have several years of experience in personnel management in a comparable leadership position.
  • Ideally, you also have experience in the field of facility management.
  • You have a good command of the software in the MS Office package.
  • Your written and spoken German and English language skills are excellent.

YOU'LL WORK WITH

You’ll lead a team with currently around 15 employees and will report to the local office leader as well as the Office Operations Director. Your team consists of all local administrative functions, ensuring smooth office operations every day. You’ll be personally embedded in the team of our regional Office Managers, whose collaboration is characterized by mutual support, professionalism, but also a good dose of humor. Along your journey at BCG, you will be supported by your office leader and, during your onboarding, also by an experienced Office Manager who will aid you in getting settled and developing at the company.
