YOUR ROLE
In this role you will report directly to the Chief Operations Officer (COO) and work closely with the Executive Assistant to the Head of School. The School Operations and Business Assistant supports the COO in a holistic way in all business and administrative tasks, processes and projects in the School. This is a very busy and active role that offers a great variety of admin tasks, projects and opportunities to further shape a leading international school. Fluency, both, in German and English is mandatory.
YOUR KEY RESPONSIBILITIES
- Communication: Manage communication on behalf of and with the COO, including e-mails, telephone calls, conference calls, and written correspondence.
- Document Creation and Management: Compose, edit, publish and/or send a broad range of official and informal documents on behalf of and with the COO. Additionally, create and maintain electronic and paper filing systems for all kinds of documents and correspondence created by or relevant for the office of the COO.
- Meetings: Manage the COO’s calendar and arrange meetings both at school and at other venues. This may include communicating with potential participants, creating agendas, taking minutes, and producing protocols and other documents resulting from the meeting.
- Projects and tasks: Complete both discrete ad hoc tasks and components of larger projects arising from the office of the COO. This may require handling confidential information that is priviledged under GDPR and under school policies.
- Representation: Represent the office of the COO and Munich International School to visitors, students, parents, other employees, government representatives, and further partners in the community. This includes demonstrating exceptional interpersonal skills to develop positive rapport with stakeholders and creating positive perceptions of the school and of the office of the COO.
- Grant Management: Ensure the timely request and management of special government grants in close cooperation with all departments involved, as well as correspondence with respective government positions.
- Student & Employee Health Administration: Responsibility for occupational health services for students and employees including immunizations, preventive trainings and committee work.
YOUR PROFILE
- Degree in Business Studies and/or Business Education or similar degree
- Ideally at least five years of work experience as an (Executive) Assistant to an executive-level officer
- Excellent written and oral communication skills as well as organizational and interpersonal skills are essential
- Fluent in German and English (written and oral)
- Good working knowledge of Microsoft Office packages (MS Teams, MS Word, MS Outlook, MS PowerPoint, MS Excel)
- Accuracy, attention to detail and excellent presentation of work are essential
- Strong motivation to help build and shape our organization, structures and processes
- High level of self-reliance with the ability to work in a team, as well as autonomous
- Target-oriented, driven workstyle with analytic and creative problem solving skills
- Thinking outside the box and ability to help finding quick and practical solutions
- Uphold a strict level of confidentiality
