As a SeniorAdministrative Assistant, you will take ownership of criticaladministrative and event- related responsibilities, ensuringefficiency and precision in all aspects of your work. This rolerequires a detail-oriented professional with excellentorganizational and communication skills.

Keyresponsibilities:

  • Support theadministrative organization and coordination of national andinternational congresses and events, ensuring compliance withglobal and local guidelines.
  • Support PR/POcreation, financial processes, and invoicehandling.
  • Oversee event logistics, includingcongress registrations, booth arrangements, symposiasetup.
  • Handle travel and accommodation(flights, hotels, transfers), hospitality suites, social programs,and certificates of attendance.
  • Draft andmanage contracts (sponsorship, speaker, consultancy,confidentiality, etc.) and ensure properdocumentation.
  • Provide high-leveladministrative support, including internal meeting organization andcoordination.
  • Act as a point of contact forstakeholders, ensuring smooth communication and workflowmanagement.
  • Handle document approvals,archiving, and follow-up on administrativetasks.
  • Serve as a backup for event coordinationduring peak periods or staff absences.

Qualifikationen

What will make yousuccessful:

  • Fluency in German andEnglish. French is an asset.
  • Proficiency inExcel and experience with ERP systems; SAP Ariba is highlydesirable.
  • Good informatics skills: MS Office,SRM, Orbit, SourceClear.
  • Proven experience inhandling invoices, PR/POs, and financialprocesses.
  • Excellent organizational and projectmanagement skills, with the ability to prioritize tasks and meetdeadlines independently.
  • Strong problem-solvingabilities, quick to identify and resolve issuesefficiently.
  • Demonstrated customer orientation,with a patient and solution-focused approach in a multiculturalenvironment.
  • Ability to work according toglobal and local compliance procedures, maintaining high standardsof accuracy.
  • Proactive, detail-oriented, andreliable, with a dynamic and collaborative teamspirit.
